Attendance

The Attendance tab in Work records allows you to track the status of work obligations and absences either at the level of the current day or for a longer period of time, e.g. on a monthly basis.

Below is a description of the form’s features:

  1. Toolbar
  2. Header
  3. List of employee attendance

1. Toolbar

The toolbar in Attendance shows Work records tabs: My records, Requests and Leave.

On the right, there are action buttons for Attendance tab:

Export

By clicking the Export button, you can export the timesheet to Excel:

  • Working time records – Contains information on working hours.

Print

By clicking the Print button, two different reports in PDF format can be created:

  • Attendance
  • Working time records

 

2. Header

In the header, you can filter the attendance list using the following search fields:

Work obligation

Select one or more work obligations for which you want to view attendance. By default, all work obligation are displayed.

Display type By default, when opening the form, a custom period is selected, i.e. the current date (see From/To below). Predefined periods can also be selected: last 10 days, last month and last quarter.

From/To

By default, the current date is applied when the list is opened, but you can also change it or display a longer period of time.

 

3. List of employee attendance

The list shows employees and their attendance data according to the conditions or filters selected in the header (by default on the current day).

Employee picture

The employee's picture is taken from Employee – General information.

ID

The employee ID is filled in from the ID field in the Employee – General information.

Last and first name The employee's first and last name is filled in from Employee – General information.

Department

The department is filled in from the Department field in the Employee – General information.

Current status

Indicates the status of the work obligation that the employee is currently recording in My records, e.g. whether they are on a lunch break, at regular work, absent, etc.

WARNING

The current status is only displayed if the current day is selected in the From/To filter. If an interval longer than one day is selected here, the current statuses are not displayed.

Arrival

The time of arrival, i.e. the start of tracking the first work obligation on the current day is displayed, e.g. the start of regular work or absence.

Activity in period

Shows the duration of an individual work obligation (regular work, lunch, etc.) or absence during the selected period.
Departure

The time of departure, i.e. the end of tracking of the last work obligation on the current day is displayed, e.g. the end of regular work or absence.

WARNING

The current status is only displayed if the current day is selected in the From/To filter. If an interval longer than one day is selected here, the current statuses are not displayed.

Planned Shows the planned working time that the employee should have worked during the selected period and is the same as the planned working time from the My records tab.
Actual Shows the actual hours worked for the selected period, which is the same as the actual working time from the My records tab, but reduced by the hours of absence (holidays and sickness).
Accounted Shows the working time for the selected period, which is the same as the actual working time from the My records tab and includes absences.
Absences Shows the hours of absence, such as holidays (annual leave) and sickness (sick leave).
Balance Shows the balance of the working hours equal to the balance from the My records tab.
